The protection of personal data belonging to applicants, employees, and all third parties associated with us is particularly important to us. On this page, you will find information from the FERI Group regarding the protection of personal data that we process in the course of applications. It explains how personal data is handled during the application and recruitment process.

General information on data processing
Who is responsible for data processing?
FERI AG is initially responsible for collecting and processing your application data submitted by post, email, online, or on the application platform. As part of the application process for a position within the FERI Group, the data will be transferred to FERI AG or FERI (Luxembourg) S.A. and its German branch, depending on the position to be filled, which will then be responsible for further processing the data.

Purposes, legal basis, recipients, and storage period
What personal data is processed and for what purpose?
When you apply for a job (e.g., via the application platform), FERI processes your contact details (name, address, telephone number, email address), as well as your resume, professional qualifications, skills, details of your professional experience, including supporting documents, and any other data and documents you submit. Depending on the position, a certificate of good conduct and information on financial reliability may also be required. We also process information that you provide in electronic and written form or in person and by telephone, as well as information on professional networks such as Xing or LinkedIn, provided that the data is public or accessible to members or you refer us to your profile on these networks. Your data will be collected and processed for the purpose of carrying out the application process, including contacting you and deciding on the filling of the position. This is done in accordance with Art. 6 (1) (b) GDPR in conjunction with § 26 (1) BDSG.
We are also happy to consider your application for other suitable positions within the FERI Group. In this case, we will contact you and invite you to apply for such a position or ask for your permission to evaluate your application information for another vacancy. If your inquiry is an unsolicited application, we may also ask you about your professional preferences and interests in order to be better able to search for suitable positions within our group of companies. We will also inform you if a position is available that matches your profile.
When you sign contracts digitally, your digital contact details (email address), mobile phone number if necessary, details of your professional position, and connection data (time, IP address) as well as details of the time and content of the signature are collected and processed as evidence and proof of the signature; this is necessary for digital contract signing (Art. 6 (1) b) GDPR). The information may be accessed by the supporting service provider (Yousign) as part of technical support. The data will be stored by FERI for the lifetime of the signed document.
On what legal basis is the data processed?
We collect your personal data for the purpose of conducting the application process in accordance with Section 26 (1) of the Federal Data Protection Act (BDSG). Data processing is necessary for entering into an employment relationship.
Who processes the data and who are the recipients of the data?
Your data will be processed by the Human Resources department and the persons in the department for which you have applied. In any case, your personal data will only be processed by members of the FERI Group. Your application data will be disclosed to all internal departments, including the works council and, if necessary, the Executive Board or management or the Compliance and Money Laundering department, which are involved in the decision or assessment of filling the position.
If the position is with another company in the FERI Group, your data will be transferred to that company. These are either FERI AG or FERI (Luxembourg) S.A. and its branch in Germany. If you apply via the application platform, the service provider “Softgarden,” which is bound by instructions, will be responsible for the technical processing of the online application and may take note of the data in the course of executing the order. The service provider only ensures the technical connection and does not process the content of the data. With your consent, your application documents may also be forwarded to companies belonging to the group for review and contact regarding a position there.
Talent pool
If you decide to be included in the talent pool, authorized persons from the company will be able to access your personal data when filling vacancies. You will be included in the talent pool if you accept an invitation from the company or submit a speculative application.
The company will contact you if your profile matches a vacant position. Processing usually takes place in the “Softgarden” application tool. With your consent, your personal data will be stored for a maximum of six months. You will receive an email asking you to extend your consent.
User account
You can apply without registering, but you have the option of creating a user account. If you create a user account, your login details and, each time you log in to the account, information about the time and duration of use, details of the device used (browser), IP address, amount of data, and transactions carried out will be processed. This is done for authentication and to configure access to the content accessible to the user and for necessary data processing in accordance with Art. 6 (2) (b) GDPR. In addition, the data is processed for troubleshooting and for investigating and handling security incidents; the basis for this is the legitimate interest in trouble-free operation in accordance with Art. 6 (2) (f) GDPR. Web server log files are deleted after 52 days, while login attempts are stored for 12 months.
Speicherdauer
The personal data collected for the application will be stored for up to six months after our decision and deleted in the event of rejection. In the event of employment, the data will be further processed by the employing company in accordance with Section 26 (1) BDSG for the purpose of implementing the employment relationship.
Applicants' rights
How can you change or correct your personal data?
In addition to the rights mentioned in the privacy policy, you can change and update your personal information and attached documents at any time by sending us an email with your change request to karriere@feri.de or to the email address that FERI used to contact you after your online application. Please provide us with as much detail as possible about which data and information you would like to change. You can also withdraw your application at any time in the same way.
Right to information and deletion
You have the right to request information about the personal data stored about you at any time. You also have the right to request the deletion of data stored about you. If you wish to have the data deleted before the position is filled, this will be considered a withdrawal of your application. If you wish to have the data deleted before the expiry of the objection periods under the AGG, deletion is only possible if you simultaneously waive any possible claims.
Right to withdraw consent
If data processing is based on consent, you can withdraw your consent at any time.
Right to restrict processing
You have the right to request that the processing of data concerning you be restricted.
Right to object
You have the right to object to the processing of data concerning you at any time for reasons arising from your particular situation.
Right to lodge a complaint
You have the option of lodging a complaint with the company data protection officer (see above for contact details) or with a data protection supervisory authority; the supervisory authority responsible for FERI is the Hessian State Data Protection Officer, Postfach 3163, 65021 Wiesbaden, Germany.
